The costs that surprise coaching institutes are usually usage charges that grow with your students, not the headline plan. The main ones are video streaming, storage, OTP and notification messages, live class minutes, and app store fees and commissions. One-off charges for set-up, migration and custom work come on top, plus GST. Ask every vendor to price the same usage profile at your current size and at three times that, and compare totals.

The cost components at a glance

CostHow it is usually billedWhat to ask
Platform subscriptionA monthly or yearly plan, a price per student, or a revenue shareWhat is included, and what is billed separately by usage?
Video streamingPer GB delivered or per hour watched, often above a free allowanceWhat is the allowance, and the rate beyond it?
Video storagePer GB or per hour of video storedDo live recordings and old batches count?
EncodingPer minute of video processed, or includedIs it charged again when you replace a lecture?
SMSPer message, plus registration on the DLT systemAre login OTPs included? Who registers your templates?
WhatsAppPer template message, at Meta's rates plus any markupAre Meta's charges passed on at cost?
Live classesPer minute, per participant-minute or by concurrent viewersWhat happens when a class goes over the cap?
TestsSometimes by attempts or by students in one testIs there a limit on students taking a test at once?
App storesGoogle Play once, Apple yearly, commission on in-app salesWhose accounts pay, and will students buy inside the app?
Payment gatewayA percentage of each payment, plus GST on the feeIs it your own gateway account?
One-off workSet-up, branding, migration, custom features, trainingA fixed price, or by the hour?
TaxesGST, generally 18% on software and servicesIs every quote shown before or after GST?

Not every vendor bills every line. Some fold usage into a plan with limits, some charge per student, and some take a revenue share instead. The point of the list is to make sure each quote tells you where each cost has gone.

Streaming and storage: the cost that grows fastest

Video is usually the largest usage cost, because every hour a student watches is data someone pays to deliver. A rough calculation shows the scale. These numbers are illustrative.

  • A 720p lecture streamed at about 1.5 Mbps uses roughly 675 MB for each hour watched.

  • 1,000 students watching 40 hours a month is 40,000 hours, or about 27 TB of data a month.

  • Double the students or the watch time, and the data doubles too.

In practice the figure varies, because adaptive streaming sends lower quality on weak networks and higher quality on Wi-Fi. Our guide to adaptive bitrate streaming explains how those quality levels work. Offline downloads count too, since each download is delivered once.

Storage grows more quietly. Each lecture is usually kept as an original plus several quality versions for streaming. Live classes add up fast. For illustration, one batch with a two-hour class on 300 days a year adds 600 hours of recordings. Ask whether old batches can be archived, and whether archived video still counts towards your limit.

If a plan says "unlimited", read the fair-use clause. Ask what happens to quality, speed or price when you cross it.

SMS, WhatsApp and email

SMS and OTPs

On most coaching apps, each OTP login and each "resend OTP" is an SMS. At the start of a big batch, thousands of students logging in on new devices can send OTP volume far above a normal day.

In India, businesses sending commercial SMS must register on the telecom operators' DLT system as a principal entity, and register their sender headers and message templates. Messages that don't match a registered template are blocked, and since October 2024, links inside messages must also be whitelisted. Some operators charge for registration. Ask who does this work, and make sure it is registered in your institute's name.

WhatsApp

Since 1 July 2025, Meta charges for each delivered template message on the WhatsApp Business Platform. The rate depends on the template's category (marketing, utility or authentication) and the recipient's country, as Meta's pricing documentation explains. Utility templates sent while a customer service window is open are free.

Class reminders, fee reminders and result alerts add up across thousands of students. Ask whether the vendor passes Meta's charges on at cost or adds a markup, and whose name is on the WhatsApp Business account.

Email

Email is usually the cheapest channel. It still needs setting up on your own domain so messages don't land in spam.

App store fees and commissions

The fixed store fees are small: US$25 once for a Google Play developer account and US$99 a year for Apple's Developer Program. If the apps sit in your own accounts, you pay these directly.

The bigger cost is commission, which applies only when students buy digital content through the store's own billing:

  • Google Play: in India and most other markets, the service fee is 15% on a developer's first US$1 million of earnings each year. It is 30% above that, and 15% on auto-renewing subscriptions. In India, if you offer your own billing system alongside Google's, Google reduces its fee by 4%. See Google Play's service fees.

  • Apple: members of the App Store Small Business Program, for developers with up to US$1 million in proceeds a year, pay 15% commission. Above that, the standard rate applies.

Both stores have rules about when their billing must be used, and those rules and rates change. Decide where students will pay before you build, and check the current pages. Gateway fees are a separate line; our guide to payment gateway charges in India covers them.

Live classes, tests and exam-day peaks

Live classes are often priced by usage, and the numbers climb quickly. For illustration, a two-hour class with 1,000 students is 120,000 participant-minutes. Five such classes a week is 600,000. Ask how live classes are billed, what the cap on viewers in one class is, and whether recordings are charged as storage afterwards.

Tests can carry their own limits. A Sunday mock test that 10,000 students start at 10 a.m. is a very different load from the same test spread across a week. Ask whether there is a limit on students taking one test at the same time, and what it costs to raise it.

Most importantly, ask what happens on the day you exceed a limit. Is there an overage charge, a slowdown, or a hard stop in the middle of a class? The answer matters more on result day than on an ordinary Tuesday.

One-off, people and contract costs

One-off charges

  • Set-up and branding of the apps, website and store listings.

  • Migration of videos, students and question banks from your old system.

  • Custom features or integrations that aren't part of the standard product.

  • Training for staff and teachers.

People and upkeep

Someone has to run the platform: upload and organise lectures, edit video, build tests and answer students' questions. Apps also need regular updates for new phone and operating system versions. From 31 August 2026, for example, Google Play requires new apps and updates to target Android 16 (API level 36). Ask whether these updates are included or billed as extra work.

Contract terms that cost money

  • Minimum commitments, or a year paid in advance.

  • Price increases at renewal, and whether there is any cap on them.

  • Charges per admin or teacher login.

  • Fees for exporting your data or getting your videos back when you leave.

Our guides to LMS pricing for coaching institutes and what a coaching app costs in India cover the plan structures themselves.

How to compare quotes fairly

Quotes are hard to compare because each vendor bundles differently. Fix that by writing down your usage and sending the same profile to everyone. An illustrative profile might look like this:

UsageToday (illustrative)Growth case
Active students a month2,0006,000
Hours watched per student a month3030
Live class hours a week2040
Largest live class800 students2,500 students
Largest single test2,000 students6,000 students
SMS and OTPs a month10,00030,000
WhatsApp templates a month20,00060,000
Hours of video stored1,5003,000

Ask each vendor to return one yearly total for each column, broken down by the components in the first table. GST should be shown separately and all one-off charges listed. Then compare three numbers: the first-year cost, the second-year cost and the cost in the growth case. If you are weighing a revenue share against a fixed plan, our comparison of an LMS without revenue sharing shows how the break-even works.

Upclass plans are listed on our pricing page. Upclass gives coaching institutes branded apps in their own name on Android, iOS, Windows and Mac, with courses, live classes, tests and online test series. Student fees go to the institute's own payment gateway. Bring your usage profile to a demo and compare our answer with the others.

Frequently asked questions

What are the hidden charges in coaching apps?

The common ones are usage-based. They include video streaming above an allowance, storage for lectures and recordings, SMS and WhatsApp messages, live class minutes and limits on large tests. Others are one-off or contractual, such as set-up, migration, custom features, app updates, price rises at renewal and fees for exporting your data. GST is added to most of them.

How much data does an online coaching class use?

As a rough, illustrative figure, a 720p lecture streamed at about 1.5 Mbps uses around 675 MB an hour per student. Lower qualities use much less, and adaptive streaming switches between them as the network changes. Multiply by students and hours watched to estimate your monthly total.

Do I have to pay Google or Apple a commission on course sales?

Commission applies when students buy digital content through the store's own billing inside your app. Google Play's and Apple's rates depend on your earnings and programme, typically starting at 15%. Both stores have rules on when their billing must be used, so decide your payment set-up with your provider and check the current store policies.

Is GST charged on LMS and app subscriptions?

Generally yes: software subscriptions and related services in India usually carry GST at 18%. Some quotes show prices before GST and some after, so ask each vendor to state GST separately before you compare. This is general information, not tax advice; check your own position with your accountant.
