How to migrate courses, videos and student data
Move LMS videos, PDFs, question banks and student access with stable identifiers, export checks, reprocessing, expiry mapping and reconciled imports.

Migrate course videos and student data by separating source content, course structure, student identities and entitlements. Confirm export rights and formats, prepare a stable mapping, import a sample and reconcile counts and access dates. Videos may need new processing; test and progress histories may not have matching formats. Upclass’s onboarding team can assess the move, but a sample export and an agreed scope are needed before promising which records will transfer.
Use source files where available
A downloadable protected playback asset may not be the original lecture and may not be reusable by another player. Locate the master videos, captions, PDFs and course artwork. Preserve lesson order and metadata in a mapping sheet. Check the rights to move and distribute the content. Plan new encoding or protection processing and its time and cost with the destination provider.
Data types need different checks
| Data | Preparation | Acceptance check |
|---|---|---|
| Videos and PDFs | Master files and lesson order | Correct content opens in the new player |
| Students | Stable identifiers and duplicate review | Correct account reaches the correct batch |
| Entitlements | Course mapping and expiry rules | Active and expired access behave correctly |
| Tests and history | Formats and supported destinations | Scoring matches; unsupported records are archived |
Prepare student and course mappings
Use stable identifiers rather than names alone. Reconcile phone or email fields through your authorised data process and review duplicates. Map each enrolment to the correct batch and access expiry. Include any active restrictions or refunded access that needs to remain inactive. Keep the minimum records needed for the agreed migration and control who can access the export.
Handle tests and historical records separately
Question banks, marking rules, attempts, evaluator records and progress histories can use incompatible formats. Test a representative paper and scoring rules after import. Agree which data becomes live in the new platform and which is retained in a readable archive. Do not equate a CSV export with automatic feature parity; the destination must represent the same meaning, not just store the columns.
Reconcile and resolve exceptions
Count courses, lessons, files, students and active enrolments before and after the move. Sample expiry dates and check a course from several student accounts. Keep an exception list for missing masters, duplicates and unsupported history. Complete faculty and finance checks before expanding the import. A clear exception register is more useful than declaring success while silent data differences remain.
Review a sample before committing the full move
Ask Upclass to inspect a representative course, student export and assessment format. Agree preparation, reprocessing, import responsibility and exceptions before moving the entire content library.
Frequently asked questions
Can encrypted videos simply be copied between LMS platforms?
Not necessarily. The assets may be tied to a particular player or key system. Use permitted master files where available and confirm the destination’s processing requirements before estimating the move.
Will test attempts and learning progress transfer?
That depends on export formats and matching destination features. Agree those items separately and keep an archive where a reliable import is unavailable. Test representative records before promising continuity.
What is the most important import check?
Verify that each student has the correct course and expiry, then reconcile payment-related access and content availability. A matching student count alone does not establish a successful migration.
