How to migrate your coaching institute to a new LMS
Plan a coaching LMS migration with a data inventory, access mapping, pilot, payment reconciliation, student communications and rollback checks.
On this page 7 sections
To migrate a coaching institute to a new LMS, inventory courses, students, access periods, payments and assessments; confirm what can be exported; map the data to the new platform; and pilot a representative batch. Reconcile records before rollout, communicate access instructions and keep a rollback plan. Not every history or app-store listing transfers automatically. Upclass offers hands-on onboarding, but the migration scope, import work and acceptance checks should be agreed for your existing platform.
Inventory the working system
List active and expired courses, lecture source files, PDFs, question banks, students, batch memberships and access expiry. Identify payments and balances needed for continuing access. Note reports or historical records that staff must retain. Record which items are exportable and which require manual preparation. Your current provider’s tools and agreement determine the starting material; the destination LMS cannot invent missing exports.
Migration acceptance gates
| Gate | Evidence | Owner |
|---|---|---|
| Exports | Required files and data are available | Existing-platform administrator |
| Mapping | Course and student identifiers reconcile | Migration lead |
| Pilot | Access, playback and teaching work | Faculty and student support |
| Cutover | Payments, instructions and rollback agreed | Operations and finance |
Map the entitlements before the import
Course names are not reliable unique identifiers when several batches use similar titles. Define stable student and course identifiers, the mapping between old and new records, and the rules for expiry and refunds. Separate imported access from new sales. Decide how students authenticate after the move; password transfer is not a safe default assumption and may not be technically supported.
Pilot the real teaching workflow
Import one representative course and batch. Compare enrolment counts, access dates, lesson order, document availability and test configuration. Test login, playback and payment reconciliation as an ordinary student. Have faculty run the next class or paper on the pilot. Document any historical information that remains in an archive instead of being imported into an equivalent new feature.
Roll out with clear ownership
Assign owners for imports, faculty training, finance reconciliation and student messages. Move cohorts in manageable stages and choose a cutover away from major exam events. Give students clear installation and login instructions. Keep the old access or archive for the agreed transition period and define the conditions for rollback. A migration is complete only when the active teaching workflow works and the records reconcile.
Agree the move with the onboarding team
Bring a course sample, student export and entitlement rules to Upclass. Agree what will be imported, what stays archived, who performs each step and how the pilot will be accepted before setting a cutover date.
Frequently asked questions
Can I migrate from my current coaching app to Upclass?
A migration depends on the exports, source files, student records and permissions available from the current platform. Ask Upclass to review a sample export and agree the import scope. This guide does not promise that every historical record transfers.
Will students keep the same passwords?
Do not assume password transfer. Authentication formats and security policies can differ. Plan a verified login or reset process and explain it to students before the change.
Can I protect videos without moving the LMS?
If the learning workflow already suits your institute, a VidSafe SDK integration may address the video-security gap without a full migration. Confirm supported platforms and the integration effort first.
