Can one LMS run several coaching branches or centres?
One LMS can run several coaching branches if it gives each centre its own batches, staff permissions, fees and reports, while every branch teaches from one shared content library.

Yes, one LMS can run several branches, if it separates them where it matters and shares where it helps. That means branch-wise batches, staff who see only their own centre, fees and reports by branch, and one content library every centre teaches from. The real choice is between one account with branches inside it and a separate account for each centre. It turns on whether your branches are company-owned or franchised.
One account with branches, or one account per branch?
| Set-up | Works best for | Trade-off |
|---|---|---|
| One account, with branches inside it | Company-owned chains with central academics and accounts | Needs careful permissions, so each branch sees only its own students and money |
| A separate account for each branch | Franchises run by independent owners with their own bank accounts | Clean separation, but content is copied rather than shared, and there is no combined view |
| A central account for content, with branch accounts for operations | Franchise networks with central academics | The most flexible, and the most work to set up and keep in sync |
Most company-owned chains are best served by a single account. Students can move between centres without new logins, head office sees every branch in one place, and a correction to a lecture reaches every centre at once. Franchises lean the other way, because a franchise owner's students, fees and staff are legally and financially theirs.
Branch-wise batches and timetables
Each branch needs its own batches, with their own start dates, timetables and rooms, while teaching the same curriculum. A clear naming pattern saves confusion later. As an illustration, a name like "JEE 2027, Kota, Morning A" tells any staff member the exam, year, centre and slot at a glance.
Three situations test whether the LMS really handles branches:
- Students transferring. A student who moves from one centre to another should keep their attendance, test history and fee record, and simply join a new batch.
- Central live classes. When a senior teacher teaches live from one centre to screens in others, attendance should still be recorded per centre.
- Different start dates. A newer centre may run a month behind the main one on the same syllabus, so content release dates must be set per batch, not per course.
Faculty and staff: who sees what
Permissions matter more in a chain than anywhere else. Each extra person who can see every student's phone number is another way for data to leave the institute.
| Role | Should see | Should not see |
|---|---|---|
| Owner or central admin | Everything, across branches | Nothing hidden |
| Branch manager | Their branch's students, batches, fees and reports | Other branches' students and collections |
| Counsellor or front office | Enquiries and admissions for their branch | Fee reports, other branches' leads |
| Faculty teaching in several branches | Their own batches, wherever those are | Fees and student contact details beyond what teaching needs |
| Central academic team | Content and tests for every branch | Fees and collections |
| Franchise owner | Their own branch only | Any other branch, and central accounts |
Coaching has a familiar risk here. When a branch manager or senior teacher leaves to start their own institute, a downloaded list of students and parents goes with them. Limit bulk exports to a few central admins, and remove a departing staff member's access on their last day.
Fees, payment gateways and GST across branches
Money is where branch set-ups differ most. Decide early:
- One gateway or several. A company-owned chain can collect everything into one payment gateway and tag each payment by branch. A franchise usually needs fees to settle in the franchise owner's own bank account.
- Fees by branch. The same course may cost more in a metro than in a smaller city. Check that the LMS can set fees per branch, and that discounts need approval from the right person.
- Transfers and refunds. When a student moves centre, the fee already paid should move with them, and refunds should come from the branch that collected the money.
- GST. GST registration is state-wise, so an institute with taxable branches in more than one state generally needs a registration in each. Invoices should carry the right GSTIN. Check the details with your CA; this is general information, not tax advice.
Our comparison of payment gateway charges in India explains why collecting into your own gateway matters at chain scale.
Reports that compare branches fairly
Branch reports are how head office runs the chain. At a minimum, you need each branch's enrolments, collections and dues, attendance, test results and how much content students actually watch, side by side and combined.
Common tests across branches are one of a chain's strongest tools. A single test taken by every centre gives a combined rank list, which motivates students and shows head office where teaching is working. Our test series software page covers what that needs.
Compare like with like, though. A centre that opened this year, or admits students with weaker school results, will trail an established one for reasons unrelated to its teachers. Compare batches at the same stage of the syllabus, and look at improvement over time as well as raw scores.
Sharing content without losing control
One central library is the main reason to run every branch on one LMS. Lectures, notes and question banks are made once and taught everywhere, and a correction reaches every centre at the same moment.
- Branch additions. Allow branches to add local material, such as notes in the regional language or state-specific content for State PSC batches, without changing the central course.
- Star faculty recordings. Recordings of your best teachers, shared across every centre, are your most valuable content and the most likely to leak. Protect them with watermarks that identify the viewer; our guide to protecting coaching videos explains why.
- Franchise exits. Decide in the franchise agreement what happens to central content when a franchise leaves, and make sure access can be switched off on the day.
Common mistakes when a chain moves onto one LMS
- Copying the course for every branch. It feels simpler on day one. By the second term, each copy has different corrections and nobody knows which is current.
- Making everyone an admin. Full access for every branch manager is quick to set up and hard to take back after someone leaves with your student list.
- No naming rules. Batches named "Morning" and "New batch 2" in five centres make every report a puzzle.
- Treating franchises like company branches. Collecting a franchise's fees centrally creates settlement work every month and disputes when the relationship ends.
- No transfer process. Without one, students who change centre are enrolled again from scratch and lose their history.
- Moving every branch at once. Start with one or two centres, fix what goes wrong, then move the rest.
A checklist for multi-branch LMS demos
- Create two branches, each with its own batches and timetables.
- Log in as a branch manager and confirm you can't see the other branch's students or fees.
- Assign one teacher to batches in both branches and check what they can see.
- Transfer a student between branches and check their history and fees follow.
- Set different fees for the same course in two branches, and see where the money settles.
- Run a branch-wise report and a combined one.
- Run one test across both branches and check the combined and branch rank lists.
- Correct a lecture centrally and confirm the change reaches both branches.
- Remove a staff member and confirm their access ends at once.
- Try a bulk export of students as a branch user, and confirm it is blocked or logged.
If your chain also needs walk-in admissions, branch expenses and payroll, our guide to coaching management software covers that side.
Upclass runs courses, live classes, tests and online test series (Upclass Mock Test) in branded apps in your institute's own name on Android, iOS, Windows and Mac. Fees go to your own payment gateway. VidSafe protects the lectures every branch shares with dynamic watermarking and account-sharing prevention. Frequently asked questions
Can one LMS manage multiple coaching centres?
Yes, if it supports branches properly. Each centre needs its own batches, timetables, fees and reports, and staff who see only their own branch, while sharing one content library. Test this in a demo by logging in as a branch manager and checking what they can and can't see.
Should each franchise have its own LMS account?
Often, yes, because a franchise owner's students, fees and staff are their own. Separate accounts keep money and data apart, but make content sharing and combined reports harder. A common middle path is to keep content in a central account and run each franchise's operations separately.
How do branches share course content?
Through one central library that every branch teaches from, with release dates set per batch. Branches can add local material, such as regional language notes, without changing the central course. A correction made centrally then reaches every centre at once.
Can fees from different branches go to different bank accounts?
It depends on the platform and your structure. Company-owned chains usually collect into one payment gateway and tag payments by branch, while franchises often need fees to settle in each owner's own account. Check this in the demo, along with how refunds and transfers between branches are handled.
